Provider Terms and Conditions
To ensure an effective partnership with Students' Association Volunteering, please adhere to the conditions set out below.
Failure to abide by this may result in the non approval or withdrawal of your organisation from the Volunteering system.
You must be UK based and fall into one of these categories:
- Registered charity
- Voluntary group
- Government and public sector organisations
- Community council and neighbourhood partnership
- Other not-for-profit organisation
- Social enterprise
We are not able to advertise the following:
- Opportunities which charge students a fee to volunteer - fees can prohibit participation and we support opportunities that are accessible.
- Fundraising activities that solely involve the collection of sponsorship/donations such as a skydive/running a marathon or bucket collections, etc.

Our aim is to promote high-quality volunteering opportunities to our students and to ensure that they are safe and looked after in their placement. We ask you to:
- - Have an insurance policy that sufficiently covers your volunteers' activities.
- - Have a Health and Safety Policy that follows regulations in relation to the volunteers' work with your organisation or project.
- - Hold responsibility for undertaking PVG/DBS checks or seek references on volunteers if this is a requirement for the volunteer role.
- - Work with volunteers in a non-discriminatory way in accordance with Equal Opportunities policies.
We recommend that you have the following:
- - A Volunteer Policy with clear guidelines about induction, training, support, supervision and responsibility for volunteers and ending a volunteer role.
Be ready to share with any volunteer or member of staff from Students’ Association Volunteering that requests your organisation's policy documents.
Service Level Agreement
By registering your opportunity with us you agree to:
- Provide opportunities that are no more than 15 hours per week during term time.
- Provide opportunities in which students can develop/gain skills.
- Respond to any student expression of interest or query within 5 working days.
- Contact volunteering@abdn.ac.uk about one-off opportunities which require a longer time commitment to discuss them.
- Notify Students’ Association Volunteering about all UoA students who volunteer with you by clicking the ‘Accepted’ button on the volunteering system.
- Keep your profile and opportunities up to date and accurate.
- Maintain open and on-going communication with your volunteers and Students’ Association Volunteering, ensuring that any issues and concerns are raised immediately.
- Take responsibility for ascertaining a UoA volunteer’s suitability for the volunteer role, and accept that Students’ Association Volunteering cannot guarantee an individual’s personal or professional credibility.
- Accept liability for all UoA volunteers placed with you.
- Have a named person who is responsible for the on-going supervision and support of volunteers.
- Provide an induction covering a tour of the premises, introduction to colleagues, health and safety and explanations of tasks and role responsibilities.
- Provide the necessary training for volunteers to carry out assigned tasks.
- Accommodate any support needs UoA Volunteers may have, as is reasonably practicable.
- If you offer reimbursement of out of pocket expenses, ensure it is done in a timely fashion, upon receipt of the necessary documentation.
- Treat personal information about UoA volunteers confidentially.
- Have a procedure for volunteers regarding harassment, complaints, grievance and disciplinary.
- Follow the organisations policies for dealing with any issues or concerns involving a volunteer and discuss with Students’ Association Volunteering the nature of the problem as soon as possible and determine action to be taken.
- Ensure that all staff supporting student volunteers are made aware of this partnership agreement.
