Allocation
Students Union endeavours to support all student activities across all venues, and we work hard with ASV and AU to ensure that all student activities get access to facilities for their training and fixtures.
All bookings for training and fixtures are booked from the 1st week of Term after University Welcome/Freshers Week through to the BUCS Big Wednesday date at the end of March each Year. BUCS Appendix 2 outlines Term and exclusion dates including the 6 weeks for the Month of December until after Refreshers/ Welcome Week in January.
If there are no fixtures allocated to your “fixtures” time, this can be utilised for training purposes. It will not be automatically cancelled by Sports Office, and you will require to cancel same if not required.
Allocation Policy
We allocate all student activity facility requests in line with the Students Union allocation policy, to ensure a fair and equal process is in place to ensure every sport is supported. Consideration is given to previous bookings; size; No. of BUCS Teams and Levels of inclusivity across social to performance pathways.
The policy is in the process of being reviewed for 2023/24 and will be available for review on our website in early course.
Student activity and Students Union / Sports Union membership
To access your student activity training/fixtures times, all members will need to have purchased an appropriate student activity & either Students Union or Sports Union Membership. Please remind your members that if they are a member of multiple clubs, they only need to purchase one student or sports union membership.
Risk Assessments
All Student Activities will need to have an approved Risk Assessment in place before utilising any facilities for training/fixtures sessions.
S&C Butchart
Please note that any allocated session at the Strength and Conditioning room at Butchart are conditional upon all sessions being delivered by a ‘qualified coach’ or a ‘UoA Accredited Supervisor’. Where a qualified coach or UoA Accredited Supervisor is not available, the session must not proceed.
Aberdeen Sports Village
Usage of Aberdeen Sports Village facilities, including the gym and S&C area (located in the indoor athletics area) are not included in any training/fixtures times, nor as part of your sports union fee. Any personal usage of facilities at ASV out with training/fixtures times will require the purchase of an ASV Membership.
While you are in the facility you must behave appropriately, respectfully and politely at all times. ASV can prevent you from entering the facility, or ask you to leave, if they think your behaviour or conduct is not suitable. Serious misconduct or repeated breach of ASV's Terms of Use may result in a ban

Bookings and Cancellation of allocated sessions
Please encourage all users of the training/fixtures times (including the opposition) to be considerate of booking times by not arriving too early or waiting around after.
All facility booking requests and confirmations will be through the Students Union Sports Office via email on fixtures@abdn.ac.uk
A minimum of 48 hrs written notice to fixtures@abdn.ac.uk is required to cancel any facility booking.
Please note that there are different rules in place for cancellation/reschedule of fixtures.
Should you require to cancel any of your allocated sessions please make sure to contact the Students Union Sportseither the Captain or the President of the Club emails the AUSA Sports team on fixtures@abdn.ac.uk in advance so that they can inform ASV of the cancellation
In the unlikely event that an activity does not turn up for its allocated booking for a facility hire (ASV/Butchart/Kings/Balgownie) penalities will be imposed as per the allocation policy.
Should ASV require to cancel any sessions, they will notify the Sports Office who will in turn notify the Activity.
Sporting friendlies, events or other purposes
For any student activity bookings required out with training/fixtures times for any events, sporting friendlies or other purposes, please contact the Students Union Sports Office on fixtures@abdn.ac.uk and we can look to get this booked in for you. As these are not under the remit of club training/fixtures, any additional bookings will be invoiced directly to the student activity .
Out of Hours
If an Activity needs to cancel a booking outwith Students’ Union Sports Office, office hours, and booking before Students’ Union re-opens.
Non ASV or AU premises
Bookings at Non AU/AUSA Premises (i.e., SportAberdeen) are not included, but we can assist with these bookings if required. Please note any non AU/AUSA bookings will be at the cost of your club. The only exception to this rule is if the Student Union requires to book same to facilitate a fixture that we are unable to use ASV premises for.
